Manage a folio
Audience: Front desk
Objective: Post charges and take payment on an open stay.
Requires: Front desk access. Posting from POS also needs POS access.
Before you start
- The guest is checked in.
- You are on the correct property if the workspace has more than one.
Open the folio
- Open Front Desk (
/front-desk) and stay on Today. - Under In-house, choose the guest’s folio. You can also open it from the room after check-in.
The page title is Folio plus the folio number. Folio Summary shows Balance due.
Post a charge at the desk
On an open folio (not locked):
- Under Add charge, enter a Description and Amount.
- Choose Add.
The new line appears on the folio. Balance due updates.
Use Move room only when you are moving the guest to another vacant room. Choose the room, then Move guest.
Estimate previews the bill. It does not check the guest out. Receipts opens money receipts for this folio. Guest bills stay English.
Post a shop sale to the room
- Open POS and add the items the guest is buying.
- Choose Charge to Room (shown when the hotel module is on).
- In Charge to room folio, select the in-house guest and confirm.
The amount posts to that folio. It does not create a separate retail invoice for the guest.
If POS says there are no open room folios, the guest is not in-house yet. Check them in first.
Take payment and close the stay
Do not invent a second folio to split the bill.
- On the folio, choose Check out (or Today → Departures → Check out).
- Review the charges. Set discount, payment method, and amount paid on the summary.
- Optional: enter an Early departure fee. It posts as an extra before the invoice if the amount is greater than zero.
- Choose Complete checkout.
The folio locks. Opseno generates the invoice. A housekeeping task is created for the room. After lock, the folio shows Folio locked after checkout. Further charges are not added there.
Result
The open stay shows room charges, extras, and POS or dining posts in one balance, ready for checkout.
